An organized agenda is the basis for every boardroom meeting. It sets the tone for how involved your board members are in discussions and outlines the topics you’re planning to cover, and will give you a head start in making comprehensive minutes that document your decisions.

It is ideal that your board’s meeting agenda will include a section for reporting. Here, department chairpersons and the heads of committees can inform the board of important information. Depending on the needs of your company the reports could come from committees and departments of particular importance such as the executive director, finance director, or nominating committee.

Your next task should be “new business”. This is the place where you and your colleagues discuss ideas that have been brought up since your previous meeting and the best way to move forward. This is a great opportunity for discussion and debate, so make sure to give plenty of time for discussion. Often, this is when your board decides to change tables, change the agenda, or give an agenda item for another committee to take care of.

It’s normal to include special announcements and messages of congratulations in the new section of business. This is a chance to show your board some recognition and show that you are concerned about the contributions they make.
